Monthly capacity, the number of live submissions covered and anything outside scope are all written down before the first month starts. Where a period of exceptional tender volume arrives, additional capacity is agreed and priced separately rather than quietly absorbed or quietly dropped.

Most businesses rewrite the same answers several times a year. A retained arrangement builds a tender library, an evidence library and a set of reusable, genuinely accurate responses — so the effort goes into the parts of a submission that are specific to that buyer, not into rebuilding your own company description for the ninth time.

Those libraries are your commercial property and stay with you if the retainer ends.

Timing

Deadlines decide how much can be added.

Bid support is inherently deadline-sensitive. The earlier Evans becomes involved, the more value can normally be added — strategy, evidence and contributor planning all need time that a final-week engagement does not have. Late-stage support is still possible, and sometimes worth doing, but it is a narrower piece of work.

Questions about retained support

  • There is no fixed threshold, but businesses making roughly one serious submission a month, or working through unpredictable clusters of them, usually find retained capacity more economic and less disruptive than commissioning each one separately.

  • No. An agreed monthly capacity is set at the start — what is covered, roughly how many live submissions, and what sits outside. Unlimited retainers are a way of disappointing someone, and they are not offered.

  • The bid calendar exists precisely for that. Where clashes cannot be avoided, submissions are prioritised commercially, additional capacity is agreed in advance where possible, and Evans will say plainly if something cannot be done properly in the time available.

  • Sometimes it replaces the hire, sometimes it bridges to it. Several businesses use retained support to build a working process and a response library first, so that an eventual internal appointment inherits something rather than starting from nothing.

  • Yes. A single Full Bid & Tender Management project is a reasonable way to test whether the working relationship suits your team before committing to a monthly arrangement.

  • You do. The tender library, evidence library and reusable responses are your commercial assets and remain with you if the retainer ends.

  • Evans cannot guarantee that any bid or tender will be successful.
  • Award decisions remain entirely with the buyer or contracting organisation.
  • The client remains responsible for the accuracy of all information supplied.
  • Where legal, tax, regulatory, procurement or technical specialist advice is required, appropriate professional advice should be obtained.
